At what group size should we start seeking a formal group flight quote?

Most airlines define a group as ten or more passengers on the same flight and date. Below ten, individual bookings processed together are usually simpler and similarly priced. From ten passengers upward, request a formal group quote and compare it against current individual fares before deciding.

Are group fares always cheaper than individual tickets?

Not necessarily. Group fares offer price certainty and lock in the rate at contract time, but the per-seat price may be higher than the best public sale fare on a given day. The real value is protection against fare increases between approval and ticketing, plus potential extras like name-change flexibility and deferred payment.

Can team members still earn frequent-flyer miles on a group booking?

It depends on the airline and fare class. Some group fares are in 'G' or 'Q' class, which earn little or no miles. If mileage accrual matters to your team, confirm the earning rate before signing a group contract, or consider individual bookings in higher-earning fare classes.

What happens if we need to reduce our headcount after a group booking is confirmed?

Group contracts typically include a penalty structure for reductions, especially close to departure. You may forfeit deposits or owe a cancellation fee per dropped seat. Always read the attrition clause in the group agreement and build a conservative headcount estimate — it is easier to add names than to drop them penalty-free.

How far in advance should we book international flights for corporate travel in Africa?

For intercontinental routes (e.g., Lagos to London or Nairobi to New York), booking 6–10 weeks out typically captures good fares. For intra-African routes, 4–8 weeks is a reasonable window. Last-minute bookings on African business routes can be significantly more expensive due to limited seat inventory on some carriers.

Should we use a travel management company (TMC) or book directly?

A TMC adds value when your team travels frequently, when you need consolidated reporting for finance, or when you are pursuing group rates that require negotiation with airline group desks. For smaller, less frequent travel, a well-configured online booking tool with a clear travel policy can handle most needs without the TMC management fee.

What is the best way to handle mixed routing when travelling within Africa?

When your team connects through different hub airports — a common reality on pan-African routes — it is often smarter to split into routing sub-groups rather than forcing a single itinerary. Each sub-group books the most direct or affordable path from their city, and the travel policy provides a spend cap to keep costs aligned across the team.

How do we manage duty of care if employees book individually?

Duty of care is manageable with individual bookings as long as all tickets are booked through an approved channel that records itineraries in a central system. Many corporate booking platforms and TMCs aggregate individual bookings so your team's whereabouts are always visible, enabling you to respond quickly in case of disruption or emergency.
